Get it Right the First Time – A Small Business Guide to Software Selection

In 21st-century business, purchasing decisions are the lifeblood. From mundane decisions like choosing a menu for lunch at a restaurant, buying a new car, or finding a good friend, we spend most of our time shopping.
These choices are not easy. All marketers claim to be the sole advocate of consumer rights and tempt us with advertising messages about their products being “the best”. No two products or services are exactly alike. That difference can be huge, whether it’s “good vs. bad” or a subtle trade-off between price, quality, feature set, customer service, or durability.
Therefore, it is important to make your purchase decisions wisely and systematically. Our approach should be broad and insightful, not based on what immediately catches your eye. Hasty decisions leave us with shiny features we never use, or expensive maintenance costs for cheap products.
A good example of a systematic approach is when buying a car. Many factors are considered, weighted, and influenced by owners over the decades. This includes the trade-off between branding and performance. Factors include style, price, safety, financing terms, mileage, maintenance, resale value, and more.
Select software.
In our new “wired” modern reality, software is as important as the products and services in our daily lives. Whether it is personal email software, instant communication chat software, collaboration software to manage a distributed workforce, or ERP implementation to manage company operations, no one can do without it.
But we are somewhat accustomed to buying products and services through software, and this is relatively recent. In many ways, choosing software is not the same as choosing a product or service. Although abstract, software often fulfills very real needs that are fundamental to personal and professional success. Of course, some of the same purchasing factors apply, such as branded pricing, service, and maintenance.
Despite the above, software selection is a gray area.
This is a developed area. This is the description of a large amount of “shelf software” – software that was purchased with valuable intentions but ended up on the dusty shelf. It is not intuitive that software, unlike products and services, has a ‘life cycle’ and needs to be ‘maintained’, ‘upgraded’, and ‘fixed’.
So this purchase is based on the technical features that are immediately visible. This error is understandable, as the technical specifications are well documented and can easily be used by the buyer as a decision criterion. However, this approach involves important factors that are not immediately obvious. Measuring these “hidden” factors requires serious research and understanding.
Important ideas
1) Company history and experience
Sellers need to grow their business before considering the program. Company background is important because, unlike traditional companies, software companies are usually small and often international. These companies are likely to handle sensitive data and should conduct background checks. Related questions include:
How long have they been around?
As with most things, we can reasonably believe that past history is a good indicator of future development. The main question is how long have they been around? How long have you been in the field? If they offer a business affiliate program, have they been in the industry long enough? If the software is new, do they have relevant software development experience?
What makes them special?
